This year we require a talented admin and personal assistant to support our Joint Managing Directors and agency of 40.

Reporting directly to the Joint Managing Directors, you should be comfortable with a mixture of personal assistance and professional work. Supporting the office administrative tasks alongside that of the Directors. The dual role will demand that you are comfortable with working under pressure, communicating confidently and setting your own priorities.

Core responsibilities in the Personal Assistant role:

  • Diary management for Managing Directors
  • Management of travel arrangements and supporting documentation as required
  • Attendance of key meetings and follow up note documentation
  • Flagging of upcoming activities and priorities
  • Data analysis and reporting when briefed
  • Assisting with culture event organisation
  • Assisting with personal events and errands when required
  • Creating and managing a relationship calendar for client contacts of MDs

Core responsibilities in the Admin role:

  • Main point of contact for any agency visitors
  • Overseeing the daily maintenance and general upkeep of the agency offices
  • Owning the emergency response processes and procedures for the office
  • Ensuring compliance with Health and Safety requirements
  • Helping establish and manage office procedures and policies
  • Supporting on any in office events and activities
  • Supporting the events committee as required
  • Managing third party suppliers such as our daily cleaners
  • Managing the purchase of office supplies (and reporting on the budgeting of)
  • Supporting senior staff in creating a positive and fun working environment

Experience Required:

  • Previous experience in a similar role is ideal but not necessary – this role is all about attitude. Everything can be taught to the right candidate who is willing, hardworking and excited about getting going
  • Full UK drivers licence is required
  • Conversational English required
  • Confidence and experience in using tools such as Google slides, Excel and Word
